Removing unwanted Spaces at the beginning or end of a string of text

When dealing with large amounts of text-based data (e.g., names, addresses, etc.), it is likely that there are lots of spaces before or after many of the words. These spaces can represent a problem if you want to, for example, sort the data properly, use it in graphs, or combine it.

To solve this problem, use the TRIM() function. The trim function removes leading, trailing or extra spaces in data.

For example:
=TRIM(A3) (note: this would remove any unwanted spaces before, within, or after the text in cell A3).

Thankfully, this function removes the extra spaces at the beginning and end of a string of text, but it does NOT remove the spaces between bits of text. For example, the name "Adam Smith" will not become "AdamSmith" when using TRIM().

The trim function will remove the extra speces between bits of text. For example " Adam Smith " will be trimmed to "Adam Smith"

To replace all spaces even the ones between names, then use the Replace feature (Ctrl and H)(replace the space with nothing).

Shortcuts are very important to improve your efficiency in using excel and other windows applications.

The following are the most frequently used shortcuts:

Copy: CTRL-C
Paste: CTRL-V
Cut: CTRL-X
Print: CTRL-P
Insert a new worksheet: SHIFT-F11
Rename the current sheet: ALT+O, H, R
Delete the current sheet: ALT+E, L

Bold: CTRL-B
Italic: CTRL-I
Underline: CTRL-U

Move from cell to cell: use the arrow keys
Move one cell to the right: TAB
Move one cell to the left: SHIFT+TAB
Move to the edge of the current data region: CTRL+arrow key
Move to the beginning of the row: HOME
Move to the beginning of the worksheet: CTRL+HOME
Move to the last cell on the worksheet: CTRL+END
Move down one screen: PAGE DOWN
Move up one screen: PAGE UP
Move one screen to the right: ALT+PAGE DOWN
Move one screen to the left: ALT+PAGE UP
Move to the next sheet in the workbook: CTRL+PAGE DOWN
Move to the previous sheet in the workbook: CTRL+PAGE UP
Switch to the next pane in a worksheet that has been split (Window menu, Split command): F6

A Gantt chart is a type of bar chart that illustrates a project schedule. It is a graphical representation of tasks as segments on a time scale. It illustrates the start and finish dates of project tasks.

A Gantt chart is a useful tool for planning and scheduling projects and in monitoring project progress and allocation of resources.

Microsoft Project, an application that is designed to assist project managers in developing plans, assigning resources to tasks, tracking progress, managing budgets and analyzing workloads, is frequently used to produce Gantt Charts.

IF Function

The IF function is one of Excel’s most useful and most used functions.

The function is used to see whether a certain condition is true or false.

The syntax of the IF function is =IF(logical test, value if true, value if false)
The IF function will check the logical condition of a statement and return one value if true and a different value if false.

Examples:

=IF(A2=15, "OK", "Not OK")
If the value in cell A2 equals 15, then return "OK".

=IF(A2<>9, "OK", "Not OK")
If the value in cell A2 is not equal to 9, then return "OK".

=IF(NOT(A2<=9), "OK", "Not OK")
If the value in cell A2 is not less than or equal to 9, then return "OK".

=IF(A5<>"Sharjah", "OK", "Not OK")
If the value in cell A5 is not equal to "Sharjah", then return "OK".

=IF(OR(A5 <>"Sharjah", A5<>"Dubai"), "OK", "Not OK")
If the value in cell A5 is not equal to "Sharjah" or "Dubai", then return "OK".

=IF(OR(A2<>A3, A2<>A4), "OK", "Not OK")
If A2 is not equal to A3 or A2 is not equal to A4, then return "OK".
